Checklist for 2000 Songwriters Invitational

I put this together hoping that it helps.

How to Get the Information into Press Releases and Media Kits

  1. Enter this information under your venue at   http://blackhillsmusic.com/venuemodify.html
  2. Email it barb@blackhillsmusic.com
  3. Mail it (710 St. Andrew St., Rapid City, SD 57701)
  4. Fax it (419-715-8906)
  5. Call (605-348-3770) with it (least favorite).

General Requests

  1. Do it early. Do stuff early so that your venue gets in on the publicity. Delegate before it is a crisis. Ask for help if you need it. Decide with your hosts who is responsible and deadlines.
  2. Use media contacts. Try to work on any media contacts you have to get stories about this in local papers. Hometown angles are very important to most news people. Let them know you are available for interviews.
  3. Biggest original music festival phrase. Use the phrase "biggest original music festival in the history of the state" over and over again in conversations. It is pretty exciting.

Checklist

bulletGather Venue Information. Get this information together for use in press releases: Unlike last year, I will send the press releases without specific venue information rather than waiting too long.
Venue Name
Email
Website Address
Street Address
Mailing Address
Phone

Venue owner/mgr full name (media contact)
Email for media contact if different
One sentence description of your venue's unique qualities and offerings (less than 250 characters)
One paragraph description (three to five sentence range) of your venue's unique qualities and offerings
Long description (totally optional) if you want it available to website visitors. You can go on and on here.
A quote saying how you are happy to support local and original music, or how cool this is, or why this helps the community and quality of life, or that you've lived somewhere much bigger that didn't have such a strong scene going, or whatever.
bulletMail These Things
$50 check, to Barb Evenson
Permission to use name & logo on publicity for the event
bullet Ask your Songwriters.
With your hosts, figure out a list of songwriters you'd like to have play, ask them, and if they say yes, for each songwriter, get the following information. Alternatively, don't and the publicity will show only their names. I think that won't be as effective.
Songwriter 1 Correct spelling of first and last names or stage name
CDs. (publicity reads something like "songwriters, 30 of them with CDs available, ..." and "Joe Blow, who has three CDs out including the 1999 release Fair Game, is playing at")
Bands. Current and previous bands if somewhat successful or with particularly interesting names
Other fame. "has played with Prince" "ran a NY recording studio" "got drunk with Barney Fife" or "whatever."
